Minutes of the Fulton Country Club Board of Directors April 29, 2008 The regularly scheduled monthly meeting of the Board of Directors for the Fulton Country Club was held at the Club on April 29, 2008, at 6:30 o’clock p.m. Present at the meeting were the following: Richard Bielenberg, Arnie Housenga, Steve Workman, Ken Schrader, Jeff Harmon, Mike Heusenkveld, Don Doughty, Linda Gilbert and Gary Rolfes. The meeting was called to order by Richard Bielenberg at 6:30 p.m. Minutes of the previous board meeting held on March 25, 2008, were approved as presented. Rich Winkel of Clifton Gunderson, LLP presented financial statements for March 31, 2008 and 2007. Mr. Winkel reported that the Club’s financial position was strong. It was reported that Richard Bielenberg charged the Club $200.00 for repairs to his pick up truck that was damaged during the renovation of the bathroom. He reported that he charged one-half of the total repair bill for those repairs. A question also was raised regarding expenses for accounting. Mr. Winkel reported that Clifton Gunderson charges $450.00 per month for its services. He also presented an Accounting Procedures Analysis detailing all of the work that his firm does on behalf of the Club and also special projects done for the Club over the past several years. After discussion, the financial statement was unanimously approved. Thereafter, various committee reports were made. Mike Heusenkveld reported on behalf of the Grounds and Greens Committee. He reported that some of the equipment was not current in its maintenance. Smooth rollers were replaced with grooved rollers on the greens and collar mowers. Also, pre-emergence was applied with the sprayer. However, it was not running properly as the pump was leaking. It was also reported that mulch would be applied in various places around the course. He also reported that Jerry Smith would be working 20 to 25 hours per week and that Kyle Schaeffer would be working 15 to 20 hours per week. They are in addition to Tuffy who has returned to work. On May 12, the greens would be aerated and they were looking for volunteers. He reported that the back of the No. 8 tee box would be raised and that a quote would be obtained from Jeff Spencer. Jeff Harmon reported on behalf of the Building Committee. Graham Siding & Roofing would be contracted to repair the west cart shed roof. He reported that this work would start soon. The price would be in the neighborhood of $9,000.00. Also, he reported that Gary Gilbert will temporarily continue with the Club websight. SteveWorkman reported for the Sports Committee. The dates were approved at the last meeting but a junior membership tournament will be held in July. That date will be set. Kathy Eisenga reported to the Board with respect to the Clubhouse. She reported that 10 people have purchased unlimited range balls. She inquired with respect to the golf coach and the Board unanimously agreed that the golf coach is a non-member and is not eligible to purchase unlimited range balls for $100.00. She reported that we have spent a considerable sum for dishwasher and fryer repairs. She is currently working on the occupancy permit. The well test was satisfactory. She is working on proper inventory techniques for the bar/restaurant. She stated that she would like to buy a hotdog machine, a nacho cheese machine, and a couple of crockpots. She was authorized by the Board to spend up to $150.00 per item without Board approval. As usual, all expenditures will be reported. The clubhouse staff will wear polo shirts at work with a Fulton Country Club logo and the grounds crew will also wear similar shirts. At the conclusion of reports, the Board went into new business items. It was reported that we are short one tee box sign sponsor and Arnie will continue to pursue that. Curt McCaulley has been helping with equipment repairs. The Board unanimously agreed to pay him $200.00 for his efforts. Dick Thoms picks up range balls in exchange for lunch, which was also approved. A question was presented as to the Club’s policy with respect to cart shed rentals when two people rent the cart together and one dies. It was agreed that the survivor would still be allowed to continue with the shed rental. A request was presented to the Board with respect to a donation for a benefit held on behalf of Rich Wing. The Board unanimously agreed to donate two rounds of golf with a cart. Arnold Housenga requested the Board to give Ashley Eisenga a raise from $8.50 per hour to $8.75 per hour. After discussion, it was agreed that Ashley would receive the raise. Further discussion was held and that upon motion duly made and seconded, it was approved that wages for Clubhouse employees (other than manager) would be capped at $8.75 per hour.
